Privacy Policy

Birch Pro is a construction project management tool operated by Birch Co. It is used by Birch Co staff, and by the clients and subcontractors of a given project, to manage schedules, tasks, selections, budgets, documents and job-site updates.

Information we collect

• Account information — your name, email address and role. Accounts are created for you by a Birch Co administrator; there is no public sign-up.
• Content you enter — projects, tasks, schedules, selections, estimates, budgets, invoices, messages, documents and notes.
• Photos, videos and files you attach — for example job-site photos posted to a project update, or a signed document you upload.
• Activity records — a log of significant actions taken in the account (who changed a schedule, who approved a selection), kept so project history is auditable.
• Technical data needed to run the service — a session cookie to keep you signed in, and standard server logs.

Device permissions

The app asks for these only at the moment you use the related feature, and never in the background:

• Camera — to take a job-site photo or video to attach to an update.
• Photo library — to attach an existing photo or video.
• Microphone — to record audio as part of a video you attach.

Declining any of these leaves the rest of the app fully usable.

How we use information

Solely to operate Birch Pro for your company: to show you the projects you have access to, to keep project records accurate and auditable, and to send transactional email such as an invitation, a password reset or a notification about work assigned to you. We do not use your information for advertising or profiling.

Who we share it with

Information is visible to the Birch Co staff working on your project, and to the other people granted access to that project. Beyond that, we share only with the service providers needed to run the app:

• SendGrid — delivers transactional email.
• Intuit QuickBooks — only if your company connects it, and only for invoice and vendor bill synchronisation.
• Our hosting provider — operates the servers the app runs on.

We may also disclose information where required by law.

How it is stored and protected

Traffic between the app and our servers is encrypted with HTTPS. The production database is encrypted at rest. Access is restricted by role, and every account is protected by a hashed password.

Retention and deletion

Project records are retained for as long as your company needs them as a business record of the work performed. Because accounts are provisioned by a Birch Co administrator rather than self-registered, account removal is handled the same way: ask your administrator, or email us at the address below, and we will deactivate the account and delete the personal information associated with it. Note that project records created in the course of the work — a schedule change, an approval — may be retained as part of the project history.

Children

Birch Pro is a workplace tool. It is not directed to children and we do not knowingly collect information from anyone under 13.

Changes

If this policy changes materially we will update the date at the top of this page and, where appropriate, notify account holders by email.
